1. Scope of this notice
This notice explains how we handle personal information when you visit this website, contact us, receive business-to-business outreach from us, subscribe to Landscape Reputation Desk, complete our onboarding process, or use our managed Google Business Profile and reputation-support service.
2. Information we collect
Depending on how you interact with us, we may process:
- business contact information such as name, job role, business email address and business telephone number;
- company information, website, service areas, services offered and Google Business Profile details;
- onboarding information such as brand tone, priority services, competitors, project-photo links and approval contacts;
- communications between you and us, including enquiries, approvals and service instructions;
- publicly available business information used for B2B prospecting and free reputation checks;
- subscription and payment-status information supplied by our payment provider. We do not need to store your full payment-card details;
- content and information needed to provide the service, such as reviews, supplied project photos and verified profile information.
3. Where the information comes from
We receive information directly from you, from your company, from public business sources and websites, from publicly visible Google Business Profiles and reviews, and from service providers involved in subscription, communication and onboarding. When we contact prospective corporate customers, the business details may have been obtained from publicly accessible company websites, public directories, Companies House information, Google business listings or similar business sources.
4. Why we use information
We use personal information to:
- respond to enquiries and provide requested information;
- set up and deliver the Landscape Reputation Desk subscription;
- prepare review responses, profile content, Google posts and monthly reporting using verified client context;
- administer billing, cancellations and service communications;
- protect our service, prevent misuse and keep appropriate records;
- identify and contact relevant corporate businesses that may have a legitimate interest in our service;
- comply with legal, tax, accounting and regulatory obligations.
5. Lawful bases
Where UK data-protection law applies, we generally rely on:
- contract where processing is necessary to provide a service you or your business has requested;
- legitimate interests for proportionate B2B prospecting, service administration, business improvement, security and record-keeping, where those interests are not overridden by individual rights;
- legal obligation where we must retain or disclose information to comply with applicable law;
- consent where we specifically ask for it and consent is the appropriate basis.
Our B2B outreach is aimed at companies and other corporate subscribers. We do not disguise our identity and we provide a simple way to opt out. We suppress further outreach when a recipient objects or asks us not to contact them.
6. Who we share information with
We use service providers to operate the business. These may include Google services (such as Workspace, Forms, Drive and Google Business Profile workflows), Selar for subscription/payment processing, Cloudflare for website and DNS infrastructure, and other professional or technical providers where reasonably necessary. Each provider handles information under its own contractual and privacy obligations.
We do not sell personal information to advertisers.
7. International processing
NorthPeak Ventures Ltd is based in Uganda and serves UK businesses. Personal information may therefore be accessed or processed outside the UK. Some service providers may also process information in multiple countries. Where UK data-protection rules require specific safeguards for an international transfer, we will take reasonable steps to use an appropriate transfer mechanism or other lawful safeguard relevant to the circumstances.
8. Retention
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected. Client and service records are kept while the subscription is active and for a reasonable period afterwards for support, disputes, accounting and legal obligations. Prospecting records may be retained long enough to manage outreach history and, importantly, to preserve opt-out/suppression requests so that we do not contact someone again by mistake. Where law requires a longer retention period, we may retain the relevant records for that period.
9. Your rights
Depending on the law that applies to you, you may have rights to access, correct, erase or restrict the use of your personal information, to object to certain processing, and in some circumstances to receive a portable copy of information you provided.
You have the right to object to direct marketing at any time. Reply to an outreach email, or contact norman@landscapereputationdesk.co.uk, and we will stop using your personal information for that purpose.
10. Cookies and this website
This MVP website does not intentionally use analytics, advertising or other non-essential cookies. Basic hosting and security infrastructure may process technical request data needed to deliver and protect the site. If we later add non-essential analytics or similar technologies, we will update this notice and implement consent controls where required.
Links to Selar, Google Forms and other third-party services take you to separate websites. Those services may use their own cookies and technologies under their own privacy notices.
11. Security
We use reasonable administrative and technical measures to protect business and personal information. No online service can guarantee absolute security, so please do not send passwords or unnecessary sensitive information. In particular, we do not need your Google account password to manage your Google Business Profile.
